Who we are

AQELTech Ltd is the data controller. We are registered in England and Wales, company number 10006599, at 82A James Carter Road, Mildenhall, Suffolk, IP28 7DE, United Kingdom. Our VAT number is GB380485481.

We are registered with the Information Commissioner's Office under registration number ZB235384.

We have not appointed a Data Protection Officer. We are not required to: we are not a public authority, and our processing is neither large scale monitoring nor of special category data.

What we collect

When you write to us. Your name, your email address, the company you give us, and your message. That is what the contact form asks for and we keep it so we can answer you.

When you join the newsletter. Your email address, and the time and internet address you subscribed from, which MailerLite keeps as the record of your consent. We keep your address only until MailerLite has it.

When you buy something. Your name, email address, billing country and, if you give one, your company name and VAT number. These go on the invoice, which is a document we are required to produce correctly. We also record the IP address the order was placed from, because a payment record that cannot be tied to a session is one we cannot investigate when something goes wrong.

When a payment provider calls us back. The address their servers call from, alongside what they sent. This is a fraud and reliability record and is not about you.

We do not collect card numbers. Stripe and PayPal take those directly and we never see or store them.

Why we are allowed to

  • Answering you. Legitimate interests. You wrote to us and we reply; the form says what it is for and nothing else is done with it.
  • The newsletter. Consent, given by subscribing, withdrawn by unsubscribing.
  • Selling you something. Performance of a contract. We cannot issue a licence or an invoice without the details that go on them.
  • Keeping the accounts. Legal obligation. Tax law sets both what we keep and for how long.
  • Measurement. Consent, and nothing loads before you give it. Analytics and marketing are asked about separately, both start switched off, and declining leaves the tags unloaded rather than loaded and ignored.

Who we share data with

  • Google (Analytics 4 and Tag Manager), for measurement, and only after you allow analytics cookies.
  • Meta, LinkedIn, X and Microsoft Bing, for advertising measurement, and only after you allow marketing cookies, which you are asked about separately.
  • Stripe and PayPal, where you buy something, to take the payment.
  • tawk.to, on a site that offers live chat, once you open the chat window.
  • MailerLite, on a site with a newsletter, once you subscribe: it keeps the list, sends the newsletter and holds the record of your consent.

Nothing in the first two groups loads at all until you agree, and each site's cookie policy lists exactly which of them it runs.

How long we keep it

What How long Why
Contact enquiries 24 months from your last message Long enough to pick up a conversation, short enough not to hoard
Newsletter subscription Until you unsubscribe It exists only for as long as you want it
Invoices and payment records 6 years after the end of the accounting period Required by HMRC, and not ours to shorten
Measurement data As set by Google and the other processors named above Held by them, not by us

If you ask us to delete something we hold under the first two rows, we will. We cannot delete the third before its time: keeping it is a legal obligation, not a preference.

We review and clear these records rather than deleting them on an automatic timer, so if you want something gone before its period is up, ask us and we will do it.

Your rights

Under UK data protection law you can ask us to: tell you what we hold about you, correct it, delete it, restrict what we do with it, hand it to you in a portable form, or stop relying on legitimate interests. You can withdraw consent to measurement at any time from "Cookie settings" at the foot of every page, and withdrawing it is as easy as giving it.

Ask us at info@aqeltech.com and we will answer within one month.

If you think we have got it wrong you can complain to the Information Commissioner's Office at ico.org.uk, and you are entitled to do that without asking us first.
